The Finance Assistant will be trained to be responsible for the smooth transactional functions of the finances of LWA. This includes, but is not limited to, the accounts payable and accounts receivable functions, including statutory payments. The role is also responsible for assisting the Assistant Accountant to ensure that LWA staff and workers are paid correctly and on time through payroll.
This is an apprenticeship role offering training and support to gain a qualification with the Association of Accounting Technicians, initially to Level 3. There will be six hours per week allocated to study and course work. The Finance Assistant will be trained to be responsible for the smooth transactional functions of the finances of LWA. This includes, but is not limited to, the accounts payable and accounts receivable functions, including statutory payments. The role is also responsible for assisting the Assistant Accountant to ensure that LWA staff and workers are paid correctly and on time through payroll.
This role is line managed by, and responsible to, the Finance Manager.
All paid members of staff are accountable to the Chief Executive, and ultimately the Trustees of Leeds Women’s Aid, and will work according to policies and procedures agreed by them.
Main Duties
The Finance Assistant must be flexible, adaptable and able to prioritise a busy and varied role. They will be trained on the following to carry out the requirements of the role:
1. Input purchase and sales invoices into Xero Accounts
2. Produce a trade creditor report fortnightly and make payments via Unity Trust Bank
3. Pay employee expenses through Unity Trust Bank
4. Chase suppliers for outstanding invoices, credit notes and statements
5. Raise weekly Housing Benefit and Personal Service charge invoices for clients on Xero
6. Carry out PayPal reconciliations
7. Manage the petty cash floats
8. Assist with preparing the monthly payroll on Xero Payroll
9. File documents and paperwork, as required
10. Deal with incoming and outgoing post
11. Physically manage cash ensuring accurate record keeping
12. Maintain accurate records
13. Report on Personal Service Charge payments
14. Manage the accounts@ email inbox
15. Provide cover for the main office when required
16. Undertake any other reasonable duties at the request of the Finance Manager, Chief Executive or the Trustees.
General
17. Attend staff meetings and other training events as required.
18. To uphold LWA’s policies, with particular reference to confidentiality, health and safety and equity, diversity and inclusion.
19. To carry out any other duties or training commensurate with the post.
